Privacy Policy

This policy explains what personal information we collect when you apply for or hold an EMYC membership, why we need it, who can see it, and the choices you have.

1Who we are

EMYC (full legal name of the organisation) runs this membership system to register members, collect membership fees, issue ID cards and certificates, and keep members informed. EMYC is responsible for the personal information described in this policy.

This policy applies to the membership website, the member portal, and any messages we send you about your membership.

2Information we collect

When you apply

  • Your name, gender and date of birth
  • Your phone number and, if you give it, your email address
  • Where you live: region, zone, woreda or kebele, and your local mosque or branch
  • Education, occupation and other details asked on the application form
  • A photo, used for your membership ID card
  • For institutional members: the institution's name, contact person and registration details

When you pay

  • The amount, date and purpose of the payment
  • The transaction number from Telebirr or your bank
  • The name and phone number of the person who paid, if someone paid for you

When you use your account

  • Login details and one-time codes (OTP) sent to your phone
  • Requests you send us, such as change requests, letter requests or support tickets
  • Basic technical records such as login times and IP address, kept for security

3How we use it

We use your information only to run your membership:

  • Review and approve your application
  • Create your membership number, ID card and certificates
  • Record your payments, send invoices and renew your membership
  • Send reminders before your membership expires
  • Invite you to events, share announcements and opportunities
  • Prepare statistics about membership by area. These reports show numbers, not individual names.
  • Keep the system secure and prevent fraud

4Payments

Payments are handled by Telebirr and our partner banks. When you pay, you enter your PIN or password on the payment provider's screen, not on ours. We never see or store your PIN, password or card details.

We only receive confirmation that the payment was made, with its amount and transaction number, so we can mark your invoice as paid.

If you paid but your membership still shows as unpaid, keep the SMS receipt from Telebirr or your bank and contact us with the transaction number.

5SMS and notifications

We send SMS messages and notifications about your membership: payment reminders, receipts, application updates and one-time login codes. We may also send announcements and event invitations.

You can ask us to stop announcements and event messages at any time. Messages that are needed to run your account, such as login codes and payment receipts, will still be sent.

6Who can see it

  • EMYC staff and area administrators. Each administrator can only see members inside the area they manage, such as their region, zone or woreda. Finance staff see payment records; membership staff see member records.
  • Payment providers. Telebirr and our partner banks process your payment under their own privacy terms.
  • SMS provider. Your phone number and the message text are passed to our SMS provider only to deliver messages.
  • Authorities. Only when the law requires it.

We do not sell, rent or trade your personal information, and we do not share it with advertisers.

7How long we keep it

We keep your member record while your membership is active, and for number years after it ends, so we can answer questions about your membership history.

Payment records are kept for as long as financial and tax rules require. After that, we delete your information or remove anything that identifies you.

8How we protect it

  • The website uses a secure, encrypted connection (HTTPS).
  • Passwords are stored in encrypted form, and no one at EMYC can read them.
  • Each staff account only has the access its role needs, limited to its own area.
  • Important actions are recorded, so we can see who changed what and when.

No system is perfectly secure. If we learn of a breach that affects your information, we will tell you and explain what we are doing about it.

9Your rights

You can ask us to:

  • Show you the information we hold about you
  • Correct information that is wrong or out of date. You can also send a change request from your member portal.
  • Delete your information when you leave, unless we must keep a record by law
  • Stop sending you announcements and event messages

To make a request, contact us using the details below. We will reply within number working days and may ask you to confirm your identity first.

10Young members

If you are under 18, please ask a parent or guardian to read this policy with you before you apply. A parent or guardian can contact us about a young member's information at any time.

11Changes to this policy

We may update this policy when our services or the law change. The date at the top of the page shows the latest version. For important changes, we will tell members by SMS or in the member portal.
